How to set up Outlook email in Gmail for multiple inboxes

Microsoft Outlook can access Google's Gmail webmail service via POP3 or IMAP. POP3 Access lets you download and sync your Gmail, Inbox in Outlook then send and receive email through Gmail. If you have your Gmail email organized into multiple mailboxes or you want access to folders like Sent Messages, Drafts, and Spam, you can configure Outlook to connect to Gmail through IMAP and to sync all Gmail folders with Outlook.


1 Open a browser and sign in to your Gmail account. Click the "gear icon," click "Email Settings," then click "Forwarding and POP / IMAP." Click the radio button next to "Enable IMAP" click "Save Changes."

2 Open Outlook. Click "File," Account Settings, and then "Account Settings" again. Click the "Email" tab and click "New."

3 Click "Email Account" and click "Next". Enter your name, the email address of the Gmail account in the form "[email protected]" and the password for your account. Enter the password in the "Retype Password" text box to confirm it. Click on Continue."

4 Connect Outlook to Gmail servers and load the server settings for your IMAP connection then log in to the Gmail account and send a test message.

5 Click "Next", then "Next" to send a test email. Click Finish".

Tips & Warnings

  • If you've configured Gmail for POP and IMAP access, Outlook will automatically configure an IMAP connection. To change it to POP, you have to manually enter the pop server information in "Account Settings".
  • Can configure multiple Gmail accounts in Outlook and have access to the field for each account with POP or IMAP.
